Terms of Service
Effective date: October 28, 2026
These terms are an agreement between you and CredentialsTracker (“we”, “us”) for the CredentialsTracker service. By creating an account or using the service you agree to them and to our Privacy Policy. If you do not agree, do not use the service.
1. The service
CredentialsTracker helps businesses keep track of licenses, certificates, insurance, and training for their staff and subcontractors, and sends reminders and upload requests. It is for business use by people 18 or older. It is a record-keeping tool. It is not legal, compliance, or insurance advice, and using it does not make a business compliant with any law or contract. You are responsible for knowing which credentials and renewal periods apply to you.
2. Early access and changes
CredentialsTracker is in early access. Features, limits, and pricing may change, and we may change, suspend, or discontinue features, or take the service offline briefly for maintenance. Text-message reminders are not currently offered; if we add them, additional terms will apply. If you send us feedback, you allow us to use it to improve the service without owing you anything.
3. Your account
Give accurate information, keep your password secure, and tell us promptly about any unauthorized use. You are responsible for activity on your account.
4. Your data and your responsibilities
- You own the information you put into the service. You give us permission to store and process it to provide the service.
- You confirm that you have the right to enter information about your staff and subcontractors, and that you have given them any notices the law requires.
- You are responsible for getting consent before any text messages are sent, and for the accuracy of email addresses and phone numbers.
- Do not upload Social Security numbers, bank or card numbers, health information, or anything unlawful.
- You are responsible for checking documents before approving them. The name check and the automatic reading of documents can be wrong and do not detect forged or altered documents.
5. How we handle personal information for you
To the extent we process personal information of your staff and subcontractors on your behalf, we act as your service provider under California privacy law. We will use it only to provide the service to you, will not sell or share it, will not keep, use, or disclose it outside our relationship with you, will not combine it with other information, and will give it the level of protection California law requires. We will tell you if we can no longer meet these obligations. You may take reasonable steps to confirm we are using it properly and to stop unauthorized use. We use subcontractors (listed in the Privacy Policy) under written terms, and we will help you respond to requests from individuals. If we learn of a security breach affecting your data, we will notify you without unreasonable delay.
6. Free trial, fees, and automatic renewal
- New accounts have a 14-day free trial. We do not ask for a payment method for the trial, and we do not charge you when it ends unless you choose to subscribe. The free trial is available once per person. Creating a new account with the same email address, including variations such as a plus-tag, does not start a new trial. After the trial, an account that has not subscribed becomes read-only.
- The price and billing frequency are shown at checkout before you pay. Subscriptions renew automatically each billing period until you cancel. Payments are processed by Stripe.
- To cancel, sign in, open the Billing tab, choose Manage billing, and cancel. This takes effect immediately for future renewals, and your account stays active until the end of the period you have paid for. You can also email credentialstracker@gmail.com.
- We will give at least 30 days’ notice by email before changing the price.
- Fees are non-refundable except where the law requires, or where we choose to make an exception.
7. Acceptable use
Do not misuse the service: no unlawful use, uploading malicious files, attempting to access other accounts or our systems, overloading the service, or reselling it without our written permission.
8. Third-party services
The service relies on other providers for hosting, email, text messages, AI reading, and payments. They have their own terms, and we are not responsible for outages or errors on their side.
9. Our property
We own the service, its software, and its branding. We give you a limited, non-exclusive, non-transferable right to use it during your subscription or trial.
10. Disclaimers
The service is provided “as is” and “as available.” We do not promise that it will be uninterrupted or error-free, that emails or texts will be delivered on time or at all, that dates read from documents are correct, or that using it will keep any person or business compliant. You remain responsible for tracking and renewing credentials.
11. Limits on our liability
To the fullest extent the law allows, we are not liable for indirect, incidental, special, or consequential damages, or for lost profits, fines, penalties, or losses from a missed reminder or an expired or invalid credential. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim (or $100 if you paid nothing). Nothing in these terms limits liability that cannot be limited under California law, including for fraud, willful injury, or violation of law.
12. Indemnity
You will cover us for claims, losses, and reasonable costs arising from information you put into the service without the right to do so, or from your violation of these terms or the law.
13. Ending the agreement
You may stop using the service at any time. We may suspend or end access for serious or repeated violations of these terms, or if we stop offering the service (with reasonable notice where we can). You can delete your account and data at any time from the Account tab, or ask us to, as described in the Privacy Policy. Please download any records you need before you leave.
14. Changes
We may update these terms. For material changes we will email account holders at least 30 days before they take effect. Continuing to use the service after that means you accept the changes.
15. Governing law
These terms are governed by the laws of the State of California, without regard to conflict-of-law rules. Before filing a claim, please email us at credentialstracker@gmail.com and give us 30 days to try to resolve it informally. Any dispute that is not resolved will be handled in the state or federal courts located in California, and you and we agree to those courts.
16. General
These terms and the Privacy Policy are the entire agreement between us about the service. If a part is found unenforceable, the rest stays in effect. Not enforcing a term is not a waiver of it. You may not transfer your account without our written consent; we may transfer these terms as part of a merger or sale of the business. We may send notices to the email address on your account, and you may send notices to the address below. Neither of us is liable for delays caused by events beyond our reasonable control. Sections that by their nature should continue after the agreement ends, such as the disclaimers, limits on liability, and governing law, will continue.
